How do we use your data?

Enquiries

If we receive enquiries via telephone or email (including via our website), you will provide us with your name, company name, email and phone number and we will use these details to respond to your enquiry. We ask for a telephone number in case we have any difficulty responding to you via email or to contact you to request for further information so that we can reply to your enquiry as appropriately as possible. Following the contact,  our communication will remain on our email system in case you wish to use our services in the future. Your data will not be used in any other way. Hard copies will be destroyed. In the case of enquiries we hold your data with your consent.

Customers

All of our customers will provide us with their business name, address, telephone number and email. We use and hold this information to ensure that we can fulfil our contractual obligation with you, make the necessary contact with you and to invoice you. Due to industry standards, we are required to keep records of work completed for our clients. This information is held securely and not used for any other purposes. The data we hold for customers is given with your consent or necessary for us to fulfil our contract with you.

Suppliers

We only hold the personal information for suppliers that is displayed on the invoices that are sent to us. We process this information so that we can make payments and we store the data until it is no longer required for our financial records. We need to hold this data on a contractual basis.

Employees

Our employees supply us with personal data as detailed in our application form (Name, address, telephone number, date of birth, national insurance number, bank details, email address). This data is either required by law,  used for health and safety purposes or necessary to fulfil our contract. We would only share this information if we were legally requested to do so by a government agency or by the police and we hold this data for contactrual, legal and health and safety reasons. If you leave our employment, we will keep your files for the statutory six years.

Improving our Website

Our website uses tracking software to monitor its visitor’s experience to understand better how our site is being accessed. This software is provided by Google Analytics which uses cookies to track visitor usage. The software will save a cookie to your computer’s hard drive to track and monitor your engagement and navigation of the website. We process this data with your consent via our cookie consent agreement when you first visit our site. Cookies are small, harmless files saved to the user’s computer’s hard drive that track, save and store information about the user’s interactions and usage of the website. If you agree to our cookies when you visit our site, we collect your IP user address and information about the pages you accessed and how long you stayed on these pages. How do we store your information?

Your information will be stored on our emails system and client database on our laptops and computers. We will also store hard copies in our lockable filing cabinet.

How do we secure the information we collect?

We take a proactive approach to user privacy and ensure the necessary steps are taken to protect the privacy of our users. Our website complies with all UK national laws and requirements for user privacy and uses a Secure Socket Layer (SSL) certificate, and we take actions to minimise security breaches of data stored on our computers and laptops, for example, using complicated passwords, anti-virus software and being vigilant opening links/files from unknown sources. Our IT support takes regular backups of our data and reviews our digital security. Our filing cabinets are lockable, and we take steps to ensure that the information we take to site visits is kept secure and not left unattended. We have taken all possible steps to ensure the design and hosting company are aware of, and meet the requirements of GDPR and data law and do all they can to protect and secure our website and the information that we hold. While we do take all applicable technical and organisational measures to safeguard your data and only use secure servers, it is impossible for us to secure the whole internet entirely. As a user, it is your responsibility to acknowledge this and to understand that the personal details you give to us by your own choice across the internet are transferred at your own risk.

Do we share your information?

Any third parties do not share the information we hold outside of our business except for our accountant who uses the financial records that contain a name, addresses and bank details and to fulfil our contractual obligations.

Use of Social Media

Our social media engagement is subject to the customs and privacy policies of each social media platform. Social media may have their tracking cookies in place. While we take great care to ensure the security and safety of our follower’s personal information, it is up to the individual to use the platforms with due care and caution regarding their privacy and personal details. Saracen Fire Protection will never ask for personal or sensitive information through social media platforms and encourage users wishing to discuss sensitive details to contact them through primary communication channels such as telephone or email. If we use social sharing buttons which help share web content directly from web pages to the social media platform in question, users do so at their discretion. By default, some social media platforms shorten lengthy URL’s (web addresses) so that they look like this; http://bit.ly/wkDTpk18. These shortened URL’s can be prone to spam and hacking. Saracen Fire Protection cannot take any liability for damages/implications caused by visiting any shortened links.

What are your rights?

You may request a copy of the personal data we hold for you free of charge, and ask for your information to be amended or removed. To do so, please email Admin@saracenfireprotection.co.uk. We will respond to your request within 30 days providing you provide us with proof of identity if we think it is necessary.
